Important Update Installation Instructions: Payroll 16
for users updating from Payroll Series versions 11, 12, 13, and 14
Due to structuring requirements implemented by Apple®, the installation of the Version 16 Update will be different from previous updates. Please read this document carefully and follow the instructions for moving your existing payroll companies from your existing version 11, 12, 13 or 14 payroll program to the version 16.
Regardless of whether you've launched version 16 or not, you will need to archive your existing Payroll Program as described below.
Archive Existing Payroll Program
Why do you need to archive? It's always a good idea to back up what you have in case something goes wrong. Payroll 16 has different requirements, and you may need to go back to your previous version if Payroll 16 isn't compatible with your operating system. Payroll 16 requires OS 10.2 or higher. After you install and make sure everything is working as it should, you can clear out your old installation or save it.
- Locate your existing payroll program folder.
Top Pay Users: If you are running Aatrix Top Pay in conjunction with QuickBooks, a likely location for this folder would be Hard Drive/Applications/QuickBooks Pro/Aatrix Top Pay.
- Compress the Aatrix payroll product (Top Pay, Ultimate, or Paycheck) folder using the Archive feature on Mac OS 10.3 and higher (File > Create Archive), or a compression program such as Stuffit.
- Drag the old Aatrix payroll product (Top Pay, Ultimate, or Paycheck) folder to your desktop.
You may wish to save the archived file to external media such as diskette, jump drive, zip drive, or CD-ROM. The archived file will contain a complete duplicate of your payroll program as it currently exists.
Install Version 16 Update
These instructions assume you've successfully completed archiving your existing payroll program as described above.
- Double-click the 2006 Payroll 16 Update icon on your desktop.
- Double-click the Payroll 16 Install icon.
- Enter the Unlock Code you were given for this product, then click OK.

If updating from versions 11, 12, 13 or 14: Click Yes in the alert that appears. This will open a dialogue asking you to locate your Defaults ƒ folder so your company information can be moved.
If updating from version 15: Click No in the alert.
NOTE: NO COMPANY INFORMATION WILL BE MOVED if you click No. This is not an issue for those users upgrading from version 15, however, if you are upgrading from version 11, 12, 13, or 14, you must be aware that clicking No will NOT move company information for the upgrade.
- In the File Open dialogue, locate and select the Defaults ƒ folder in your existing Payroll Series application folder.
- Click the Choose button.
The item you need to choose is your Defaults ƒ folder in your current payroll program folder. This should be in the folder on your Desktop, which is where you moved it after archiving the old payroll application. A message will display alerting you that the program is moving your companies.
This process may take several minutes. Do NOT perform a Force Quit during this process.
A series of small alerts will appear, informing you where the program has been installed and how many companies have been moved. Click the OK button in each to acknowledge this information.
FIRST TIME PROGRAM LAUNCH
- Launch the new program by double-clicking the version 16 application icon.
This is located in the computer's OS X Applications folder inside the Aatrix payroll product (Top Pay, Ultimate, or Paycheck)folder.
- Enter your name and company name in the splash screen that appears. (You can enter anything you wish to personalize your program.) Click OK to continue.
- In the License Agreement screen, read the legal text and click Accept to continue. Note that clicking Decline will exit the program.
- In the Registration code screen, enter your customer number and Tax Table registration code, and then click the Register button.
- A program registration screen will appear. Click Register Later to continue. (Or you can register the program now, if you wish. If you click Register Now, your Internet browser will launch and you will be taken to an Aatrix website to register your product.)
- Some users may see a box that says This Program has been Password Protected, which asks for a password. Enter the word "password" in lower case letters, and then click Enter. Password protection can be disabled or changed in program preferences later.
- Select your company in the Company Selection screen, and click the Continue button.
- CALCULATION ENGINE WIZARD The wizard will ask you to match tax types to your existing payroll items. You will only see this wizard once, on first launch of your updated program. To proceed:
Verify the wizard's selections match your payroll items in each screen and click Next to continue. The amount of screens in this wizard depend on the number of existing payroll tax items.
NOTE: You may see other screens depending on the preferences you set from your existing application. Click through these screens as you normally do on program launch until you reach the Calculation Engine Wizard screens.
- Verify your company information.
- When information is verified and you are done with the installation, you can drag the Aatrix payroll product (Top Pay, Ultimate, or Paycheck) folder from your desktop to the Trash.
